SOCIETY RULES
1. The club shall be called the Gwent Photographic and Digital Society, and membership shall be open to all interested in Photography.
  a) Subscriptions shall be fixed at the Annual General Meeting, and payable at the end of January and end of July.
  b) Prospective members are allowed to attend 1 term without payment.
  c) Only fully paid up members would be eligible to:-
    i) Have a vote and be eligible for nomination for election at Annual General Meetings.
    ii) Enter Society competitions.
2. The Officers shall consist of a Chairman, Vice Chairman, General Secretary, Treasurer, Syllabus Secretary, Competition Secretary.
3.

The affairs of the Society shall be managed by the elected Officers (Rule 4) and two Ordinary Committee Members.

4.

All Officers and Ordinary Committee Members are to be elected at the Annual General Meeting and are eligible for re-election each year.

5. Special meetings may be convened on a requisition signed by at least six members, stating the object, and sent to the Secretary at least fourteen days before the date proposed.
6.

At committee meetings, four shall form a quorum, and at a General Meeting, eleven.

7. The Secretary shall keep minutes of all the meetings, and conduct the correspondence of the Society.
8.

The Treasurer shall collect all subscriptions and monies due. At the close of each Society year, a balance sheet shall be drawn up by the Treasurer, and audited by two ordinary members appointed for this purpose at the Annual General Meeting.

9.

A Society member may be expelled or asked to resign at the decision of the Committee. The Committee can request a member to appear before it, provided that where any accusation or charge is made, the member shall be given full and reasonable opportunity to put forward a defence and bring witnesses at a later meeting. Any member expelled or asked to resign shall have the right of appeal to a Special General Meeting called for this purpose. All Committee proceedings and those of any Special General Meetings called under this rule, shall be treated as privileged and confidential.

10.

The names of any member whose subscription is more than one month in arrears may be removed from the membership list by order of the Committee.

11. The Society accepts no responsibility whatsoever for items damaged or lost, whilst at the Society’s venue.
12.

In the event of a dissolution, a Special General Meeting shall be called at which a liquidator shall be appointed, and a decision made then or subsequently as to the disposal of all Society assets.

13.

No alteration of, or addition to, these rules shall be made except by the Annual General Meeting or a Special Meeting called in accordance with Rule 7.

 
MONTHLY & END OF YEAR COMPETITION RULES
 
MONTHLY COMPETITION RULES
 
GENERAL
 
  1. Maximum of FIVE entries per member.
  2. Points will be awarded 10, 7, 4 for Ist, 2nd and 3rd places, and certificates presented. Members will also receive one point per entry. Judges will receive two points by exhibiting their own work.
  3. The judge may, at his discretion, not award all three places, depending on the standard or number of entries.
  4. An entry may be submitted in more than one competition, assuming that it fits the theme.
  5. In the event of a rule being contravened, the entry may receive comments, but will NOT be eligible for a 'placing'.
  6. Trophies will be awarded to Merit Table winner winner taken from league table, based on overall points accumulated during the year, and plaques awarded to 2nd and 3rd places. Trophies will also be awarded to the PPOTY winner and DIPOTY winner, also taken from the same league table, based on points accumulated from print/slide/Digital Image competitions during the year, respectfully.
  7. All entries to be handed in at least SEVEN DAYS prior to the competition (FOURTEEN DAYS, if an outside judge is used).
 
PRINT COMPETITIONS
 
  1. The mount to be either 20" X 16" or 12" X 16" or metric equivalent.
  2. Photography and mounting to be the complete work of the entrant.

END OF YEAR COMPETITION RULES
 
GENERAL
 
  1. Prints can be B&W, Colour, Digital, the photographers' own work or trade processed, but ALL photography and mounting to be the complete work of the entrant.
  2. Entries must NOT have been submitted in any club competition prior to the current year.
  3. Prints may be entered in a maximum of four competitions in the current year, including End of Year competitions.
  4. A trophy and plaque will be awarded to the entrant taking first place in each of these competitions, and plaques presented to those gaining second and third places in the P.O.T.Y and D.I.O.T.Y. competitions.
  5. All entries to be handed in at least FOURTEEN DAYS prior to the competition, or earlier, if the external judge so requests.
  6. In the event of a rule being contravened, the entry may receive comments, but will NOT be eligible for a 'placing'.
 
PRINT OF THE YEAR
 
  1. Maximum of FIVE entries per member
  2. The mount to be either 20" X 16" or 12" X 16"
 
PRINT PANEL OF THE YEAR
 
  1. Limit of ONE entry per member
  2. An entry to consist of a panel of FIVE prints, to be mounted individually
  3. Photography and mounting to be as General E-O-Y competition rules.
  4. The entry should conform to the WPF recommendations of a themed panel.
 
DIGITAL IMAGE PANEL OF THE YEAR
 
  1. Limit of ONE entry per member
  2. An entry to consist of FIVE images, plus an additional image showing the layout of the panel for the judge.
  3. The entry should depict the range of skills of the photographer
  4. The entry should conform to the WPF recommendations of a themed panel.
